Records Management

This service manages the employee lifecycle from starting to leaving. Using the Electronic Staff Record (ESR) system, we maintain accurate employee records and process all employment-related changes on your behalf.

New starter administration

ESR account set up includes:

  • TUPE transfer employees
  • Graduate schemes
  • External recruits
  • Apprentices

Secondment administration

This includes:

  • Processing loans in from other Trusts
  • Processing loans out to other Trusts
  • Reimbursing salary costs

Standard transfers

Transfer administration

  • TUPE and COSOP transfers in on standard terms and conditions
  • TUPE and COSOP transfers out

This is capped at up to 10% of organisation’s headcount, up to a maximum of 50. For volumes above that, a service request is required to commission the work, which then becomes chargeable.

Non-standard transfers

Transfer administration

  • TUPE and COSOP transfers in on non-standard terms and conditions
  • TUPE and COSOP transfers out

If terms and conditions are non-standard, a service request is required to commission the work, which then becomes chargeable.

Records management

Employee data

  • Maintain individual employee personal files
  • Compliance with data retention schedule
  • Support with audit data requirements
  • Support with investigation enquiries requiring employee and HR data through approved channels

Leavers administration

Administer end of employment

We issue notification to pension providers and process end of employment for:

  • resignations
  • end of fixed-term contracts
  • death in service
  • TUPE and COSOP
  • dismissal
  • ill-health retirement
  • contractors
  • voluntary exits
  • approved early retirement
  • redundancy
  • end of secondment period
