eOPS Guidance

Hints and tips

Differences between the eOPS dashboards

There are currently 3 versions of eOPS dashboards available. We’ve provided some guidance that will explain the differences between all 3, and make sure you are using the right version for the data required.

eOPS v1:

What it includes:

  • Data on the number of NHS sight tests performed, and the number of vouchers, supplements, repairs, or replacements. You can also review summary financial data to allow for effective performance management.
  • Data from Open Exeter paper form submissions, based on the Practice Profile Report (PPR) and Monthly Expenditure Report by Practice (MERP).
  • Data is displayed in the old organisational structure, such as 4 NHS regions, 27 area teams.
  • Data displayed by financial year; data available for 2018-19 to 2021-22.

What it should be used for:

  • Accessing historical Open Exeter data
  • Accessing data using the previous NHS structure

eOPS v2:

What it includes:

  • Combination of eGOS data from Primary Care Support England (PCSE) and Open Exeter data, although mostly eGOS data, only possible to view combined Open Exeter and PCSE eGOS data at a national level.
  • Claim level patient data from PCSE.
  • Data based on the new organisational structure, 7 NHS regions and 42 Sustainability and Transformation Partnerships (STPs).
  • The dashboard provides a summary of GOS activity at a national level through to data for individual contracts.
  • Data displayed by calendar year or month; data available from 2018 to latest month.

What it should be used for:

  • Accessing a combination of PCSE and Open Exeter data
  • Accessing claim level data
  • Accessing data using the new organisational structure

eOPS v3:

What it includes:

  • eGOS-based claim level patient dataset from Primary Care Support England (PCSE)
  • Data based on the new organisational structure, 7 NHS regions and 42 Integrated Care Boards (ICBs).
  • Includes performer level data, with user able to access a summary of GOS activity information at National, Regional, ICB, Contract and Performer levels.
  • The dashboard provides a summary of GOS activity at a national level through to data for individual contracts.
  • Improved visualisations meaning the reports contained in the dashboard are interactive and can be drilled down to the required levels.

What it should be used for:

  • Accessing eGOS-based claim level data from PCSE
  • Accessing performer level data (not available in the other dashboards)
  • Accessing data using the new organisational structure
  • Improved visualisations

Like the previous version of the dashboard, eOPS v3 currently does not include financial reports, although these are scheduled to be included in future iterations of the dashboard. eOPS v3 also contains some of the metrics used in Risk-based Sampling.

Purpose and background

What is eOPS:

eOPS is an online application which gives authorised users access to ophthalmic data. Data is available monthly, with eOPS having a high level functionality including the ability to:

  • access ophthalmic data faster
  • manage user friendly reports
  • refresh and export dashboards and flat data tables
  • view data visualisations

eOPS provides easy-to-use dashboards that can be accessed via a standard internet connection

What does GOS stand for:

GOS stands for General Ophthalmic Services. GOS contracts can be held by optical practices in England to deliver NHS sight testing to the public; providing that they have sought prior approval for their GOS contract from their local ICB

Where does the data in eOPS come from:

The data used in eOPS is owned by NHS England and processed by Primary Care Support England [PCSE]. PCSE is a separate organisation from the NHSBSA. PCSE administers payments to ophthalmic contractors on behalf of the NHS. They also play a role in the later stages of GOS contract management and PPV. For more information about PCSE, visit their website pcse.england.nhs.uk

Access

Who is it for:

eOPS can be accessed by ophthalmic commissioners

How do I register for eOPS:

How do I navigate eOPS:

For support navigating the system please refer to the learning materials/user guides either on this workspace, or on the eOPS website - https://www.nhsbsa.nhs.uk/access-our-data-products/eops/eops-training-hub

You can also book onto a training session using the link to the training booking calendar to expand your knowledge of the system.

How frequently is data updated:

The data is updated on a monthly basis.

How have the metrics been agreed within the dashboards:

All of the metrics within the dashboards have been focus-grouped by the relevant bodies leading these activities.

Where is the data held:

All the data for eOPS is held within the Data Warehouse, one of the NHS data architecture structures.

Can I create my own analyses within the system:

At the moment its not possible to create your own analysis within eOPS, users are only able to access pre-built dashboards within eOPS.

I am having problems finding the data I want in eOPS, can I request what I need:

The answer is yes. We would always encourage users to contact the training team first at - dataservicessupport@nhsbsa.nhs.uk if they are having problems finding the data they need from eOPS as generally this can usually be obtained through the system with a little help.

If, after contacting the training team, you are still unable to obtain the data you require from the system you can make a 'data request'. You will need to provide all relevant information of the data you are requesting and then email this request to - dataservicessupport@nhsbsa.nhs.uk

Troubleshooting

What do I do if my log in doesn't work:

When you've accessed the sign in page if your account is not logging on to the system you may need to reset your account. You can do this by selecting the 'need help signing in' link at the bottom of the sign in page. This will then send an email to the email address you registered under to use the system. Please note - as this will be an automated email it may drop into your spam/junk folders so if requested please monitor these folders as well as your inbox for this email.

I'm having issues with my eOPS account, who should I contact:

If you're having any issues with you eOPS account then the first point of contact should be our Data Services Support Team, the team will be able to help with any queries around the system. The team can be contacted at dataservicessupport@nhsbsa.nhs.uk
